Help & User Guide

Everything you need,
in the order you'll need it.

A practical guide to using ReceiptMe — from your first scan to a payroll-ready export. Written by the same paramedic who filed those 2 a.m. per-diem claims and got sick of the mess.

01 · Getting started

Set up ReceiptMe in about 90 seconds.

There's no account signup, no email verification, and no free-trial countdown. Install the app, pick two defaults, and you're scanning.

Install & open

Install from the App Store (or TestFlight) and open ReceiptMe. You'll land on the empty Trips screen. That's normal — nothing has happened yet.

There is no account to create. ReceiptMe never asks for a name, email, or password.

Grant camera access

Tap Scan and iOS will ask for camera permission. Grant it. This is the only permission ReceiptMe needs to work.

Photo Library access is optional — only needed if you want to import receipt photos you've already taken.

Set your home currency & GST

Open Settings › Currency and pick your home currency (AUD by default). If you're not GST-registered, toggle GST awareness off.

Home currency drives every trip total. You can override per-trip if a specific job pays in a different currency.

Create your first trip

Tap the + button on the Trips tab. Name it something you'll recognise — "Cloncurry FIFO Aug 2026", "Sydney conference", "Weekly running costs".

Trips can also be open-ended. Leave the end date blank for recurring cost buckets.

Scan a receipt

With your trip open, tap Scan. Point at the receipt, hold steady, tap the shutter. ReceiptMe reads vendor, amount, date and GST in about two seconds.

If a field is wrong, tap it and edit. ReceiptMe learns which vendor names you correct.

Export when you're done

When the trip ends, open it and tap Export. Choose PDF summary, CSV, or the full zipped bundle. Email straight to payroll from the share sheet.

See the Export section below for what payroll actually receives.

02 · Scanning receipts

Three ways to capture a receipt.

All three run the same on-device Apple Vision OCR pipeline. Nothing is uploaded to a server. Nothing is sent to a third party.

1

In-app scan

The default. Open a trip, tap Scan, capture the receipt. ReceiptMe auto-detects edges, straightens the image, and runs OCR before you've put your phone down.

2

Lock-screen quick-scan

Long-press the ReceiptMe icon on your Home Screen and pick Scan Receipt. Skips the trip picker — the scan lands in your current open trip automatically.

3

Import from Photos

Already photographed a stack of receipts? Tap Import on any trip and pick multiple images. ReceiptMe processes them in a batch and files them all into the trip.

What OCR reads

  • Vendor — merchant name, matched against known vendors and your own history.
  • Total amount — final amount charged, taken from the largest number that fits a currency pattern near a "total" keyword.
  • Transaction date — parsed from AU/US/EU date formats, sanity-checked against the day you scanned.
  • GST / tax — line labelled GST, VAT, TAX, or 10% is captured and separated from the pre-tax amount.
  • Payment method — Visa, EFTPOS, cash, etc. — when it's printed on the receipt.
Duplicate detection. If you scan the same receipt twice, ReceiptMe flags it and asks whether to replace, keep both, or discard the new one. It compares vendor, amount and date within a five-minute window.

03 · Trips & tagging

A trip is a bucket. Everything else is a tag.

Trips group receipts for a single reimbursement claim. Tags let you slice a trip further — reimbursable vs personal, cost code, category — without cluttering the top level.

Reimbursable vs personal

Every receipt has a Reimbursable toggle. Personal items still get scanned and stored, but they're skipped from the payroll export.

Categories

Meals, accommodation, transport, fuel, parking, phone, gear, medical. Edit or add your own under Settings › Categories.

Cost codes / project tags

If your employer uses job numbers or cost codes, add them as tags. Exports include the code column so payroll can drop it straight into their system.

Notes

Every receipt has a free-form notes field. Handy for "with client X" or "reissued after machine error".

Current open trip

ReceiptMe treats one trip at a time as the "current" one. Lock-screen scans, Siri shortcuts, and quick-adds all file into it. Change it from the trip's ... menu.

Closing a trip

When you close a trip, it becomes read-only. That protects your export — no accidental edits after you've filed. You can reopen it any time.

04 · GST & multi-currency

Australian tax, foreign spend, one honest number.

ReceiptMe is built with Australian GST in mind but works cleanly for any tax jurisdiction. Multi-currency conversion uses the trip-date mid-market rate.

GST parsing

By default, ReceiptMe treats amounts as GST-inclusive at 10% and calculates the GST component automatically. If a receipt shows a different rate (or none), OCR captures the printed line and uses it verbatim.

GST-free items

Flag any receipt as GST-free (fresh food, medical, exports). The export's GST total excludes these lines and calls them out separately.

BAS-friendly reports

Exports include a summary block showing total spend, total GST, and total GST-free spend — the three numbers a BAS statement or expense system usually needs.

Home & travel currencies

Pick a home currency in Settings. When you scan a receipt in another currency, ReceiptMe stores it in both — the original currency (what was printed) and your home currency (converted at the trip date).

Conversion rates

Rates use the trip date's daily mid-market close. If you need to override (say your bank actually charged a specific rate), edit the receipt's Home amount field manually — the printed original is preserved.

Per-trip currency override

Some jobs pay in a fixed non-home currency (USD contract, EUR retainer). Set a per-trip home-currency override so the whole trip totals in the currency your payroll actually pays out.

05 · Export to payroll

One tap. Everything payroll actually needs.

The export bundle is deliberately conservative — PDF summary for a human, CSV for an accounting system, JPEGs for the audit trail. No proprietary format. Nothing that requires payroll to install anything.

PDF

Summary PDF

One page per trip with a line-item table, GST totals, non-reimbursable line, and your name / cost code header. Print-ready.

CSV

Line-item CSV

One row per receipt with columns for date, vendor, category, amount, GST, currency, home-currency amount, cost code, notes, and receipt filename. Imports into Excel, Numbers, Xero, MYOB.

ZIP

Zipped scan bundle

Every receipt image, named YYYY-MM-DD_vendor_amount.jpg. Payroll can spot-check any line without asking you for a scan.

Delivery options

  • Email — hand-off to Mail with a pre-filled subject line and payroll recipient (set once in Settings).
  • Save to Files — writes to iCloud Drive or a local folder.
  • AirDrop — for the times you're standing next to the accountant.
  • Share sheet — pipe into any other app that accepts a document.

Filename convention

Exports are named ReceiptMe_TripName_YYYY-MM-DD.pdf (and matching .csv / .zip) so a shared folder stays sortable across dozens of trips.

Preview before you send

Every export shows a preview screen before it leaves the app. Check the total, tap Send. If it looks wrong, cancel — nothing was transmitted yet.

06 · iCloud sync (optional)

Same receipts on iPhone, iPad, and Mac — or don't turn it on.

ReceiptMe uses CloudKit against your own Apple ID. There is no Code 1 Studios server involved. If you never turn iCloud sync on, your data never leaves the device.

How to enable

Open Settings › iCloud Sync and toggle it on. You must be signed in to iCloud on the device and have iCloud Drive enabled.

What syncs

Every trip, receipt, scan image, tag, and setting. On a fresh device, install ReceiptMe, enable iCloud Sync, and your entire history appears in a minute or two depending on your library size.

Storage

Scans are stored full-resolution. A typical FIFO fortnight (~40 receipts) uses roughly 20–40 MB. Long-running libraries stay well under 1 GB.

Encryption

CloudKit encrypts data in transit and at rest. If you have Advanced Data Protection turned on for iCloud, ReceiptMe data is end-to-end encrypted — even Apple can't read it.

Disabling sync

Toggling iCloud Sync off keeps the local copy on the device and leaves the CloudKit copy in your account for other devices. Removing ReceiptMe under Settings › Apple ID › iCloud deletes the cloud copy.

No shared sync

ReceiptMe deliberately does not support shared team sync. Reimbursement is a personal record — sharing raw receipts with coworkers is a leak vector, not a feature.

07 · Privacy

Your receipts are yours. Not ours, not anyone else's.

ReceiptMe is built to a strict standard: no analytics SDKs, no advertising SDKs, no third-party servers, no account required. The full policy is on the privacy page.

What ReceiptMe collects

Nothing. The app does not phone home, does not send diagnostics, does not track opens, does not collect device identifiers.

What you can control

  • Camera access — grant or revoke any time in iOS Settings.
  • iCloud sync — off by default.
  • Full export — Settings › Export Everything writes a full backup to Files.
  • Full delete — remove the app; or use Settings › Reset to wipe local data.

Support emails

If you email us, the message sits in an inbox until it's no longer useful for support. You can ask for it to be deleted at any time.

08 · Troubleshooting

When something's not right.

Common issues and how to fix them without waiting on support. If nothing here helps, email support and I'll reply personally.

OCR read the wrong amount

Tap the amount field on the receipt detail and correct it. ReceiptMe remembers vendor-specific corrections and applies them next time. If a specific vendor consistently fails, email a sample scan and I'll tune the parser.

Scan is blurry

Tap the image, hit Rescan, and try in brighter light with the receipt flat. If your camera struggles with glossy thermal paper, angle it slightly away from overhead lights.

Missing GST line

Some vendors omit the GST line entirely. Toggle Assume 10% GST-inclusive on that receipt and ReceiptMe will back-calculate. Or flag the receipt as GST-free if that's correct.

iCloud isn't syncing

  • Check Settings › Apple ID › iCloud › ReceiptMe is on.
  • Check both devices are on the same Apple ID.
  • Force-quit and reopen ReceiptMe.
  • Toggle iCloud Sync off then back on inside ReceiptMe Settings.

Export is missing receipts

Personal (non-reimbursable) receipts are excluded from the payroll bundle by design. Open the trip filter and switch to All to see them. Toggle a receipt back to reimbursable if it was miscategorised.

Currency conversion looks off

ReceiptMe uses the mid-market rate on the receipt date. Your bank likely applied a fee on top — that's a bank charge, not the receipt amount. Override the home-currency field manually if you want to match your bank statement exactly.

App feels slow after a long trip

Very large trips (hundreds of receipts) can take a moment to open. Close the trip when you've filed, or archive it. Archived trips move to secondary storage and stop loading up front.

Camera permission was denied

Open iOS Settings › ReceiptMe › Camera and switch it on. Import from Photos still works without camera access.

09 · Frequently asked questions

Straight answers, no fluff.

If your question isn't here, email support and I'll add it.

Do I need to create an account?

No. ReceiptMe has no account system. There is no username, password, email, or verification step. Install the app and it works.

Is ReceiptMe a subscription?

ReceiptMe is currently a paid app with no subscription and no in-app purchases. You pay once and use it forever, including major updates. Pricing is set on the App Store listing.

TestFlight: While in beta, ReceiptMe is free via TestFlight invite. Email support [at] code1studios [dot] com for an invite.
Which devices does ReceiptMe run on?

iPhone running iOS 26 or later. iPad support is on the roadmap. Mac support is under evaluation — the OCR pipeline runs happily on macOS, but the layout needs designing properly.

Does ReceiptMe work offline?

Fully. OCR runs on-device with Apple Vision, so scans work in aeroplane mode, on a mine site with no signal, or offshore. iCloud sync catches up when you're back online.

Where are my receipt scans stored?

In ReceiptMe's private container on your device — a sandboxed folder that no other app can read without your explicit permission. If you enable iCloud sync, a copy also lives in your CloudKit private database (your Apple ID, not ours).

What happens to my data if I delete the app?

Deleting the app removes the local copy immediately. If you'd used iCloud sync, the CloudKit copy stays until you also remove ReceiptMe under iOS Settings › Apple ID › iCloud › Manage Account Storage › ReceiptMe. Export first if you want a backup.

Can I share a trip with a coworker?

Not directly — sharing raw receipt scans is a privacy risk. Instead, export the trip as a PDF+CSV+ZIP bundle and share that file the same way you'd share any other document. The exported bundle is the intended handoff surface.

Can I import receipts from another app?

You can import photos of receipts from Photos or Files (batch import). ReceiptMe runs OCR on each. A CSV importer for existing spreadsheet-based systems is on the roadmap — email support if you have a specific format in mind.

Does ReceiptMe track my location?

No. ReceiptMe does not request or use your location. Trip metadata is whatever you type in — the app never records where you were when you scanned.

Does ReceiptMe use AI or machine learning?

OCR uses Apple's on-device Vision framework, which is a machine-learning model — but it runs entirely on your device and Apple does not train on your data. ReceiptMe itself does not send anything to any AI service, cloud model, or LLM.

Can I use ReceiptMe for tax time as a sole trader?

Yes — the CSV export is column-compatible with most Australian accounting systems (Xero, MYOB, Hnry). GST totals are itemised. That said: ReceiptMe is a receipt tool, not tax advice. Your accountant makes the call on what's deductible.

What if I use multiple currencies on one trip?

No problem. Each receipt stores its original currency and amount. The trip total shows in your home currency (converted at the receipt date's mid-market rate). Exports show both columns.

Can I customise categories and cost codes?

Yes. Settings › Categories lets you add, rename, and reorder. Settings › Cost Codes lets you predefine codes so they're one tap away when tagging.

Is there a web version?

No — and there won't be one. A web version means a server, a server means an account, an account means collecting your data. That's the opposite of what ReceiptMe is for.

How do I report a bug or request a feature?

Email support [at] code1studios [dot] com with what you were doing and what happened. I read every email personally and reply within a few days. Include your iOS version and ReceiptMe version if the bug is reproducible.

Where can I find the privacy policy?

Right here: receiptme.pplx.app/privacy.html. It's short, plain-English, and the last-updated date is at the top.

Who builds ReceiptMe?

ReceiptMe is built by Michael Blach, a rescue paramedic and independent Apple developer trading as Code 1 Studios in Queensland, Australia. It's a one-person indie project — every reply, feature and update comes from the same person. More at code1studios.pplx.app.

Still stuck?

Email a human. I'll write back.

ReceiptMe is a one-person indie project. Every support email comes to Michael's inbox and gets a personal reply — usually within a couple of days, faster during normal hours in Queensland.
